Officer Job Descriptions

BAB Duties of Officers and Executive Board Members

 

President

  • Presides at meetings.
  • Ex officio member of all committees.
  • General Supervision and leadership.
  • Coordinate all the work of officers and committees.
  • Represent BAB w/ BOE and city officials.
  • Prepare meeting agenda.
  • Final vote in all ties.
  • Sole authority to sign any/all contracts on behalf of BAB.
  • Appoint any vacancies, s/t Exec Committee approval, of any vacancies.
  • Do we want to mention "market" BAB purpose, needs and goals at Meet the Bees.

 

First Vice President

  • Performs duties of the President in his/her absence.
  • Assist President in his/her duties.
  • Appoint chairpersons to oversee Nominating Committee and Scholarship Committees.
  • Coordinate Amazon Smile fundraiser.

 

Second Vice President

  • Perform the duties of the President in the absence of both the President and First Vice-President.
  • Assist the President in the performance of his/her duties.
  • Maintain and update the Bees Boosters Website with information about team reps, Boosters events and projects and PayPal information.
  • Maintain Bees Boosters Twitter account and tweet or retweet important school athletics information as necessary.

 

Secretary

  • Keep an accurate record of the proceedings of all the meetings of the general membership and the Executive Board.
  • Take attendance at regular and executive meetings.
  • Prepare and email copies of meeting minutes to the President, and to other officers, committee chairpersons, and individuals, as appropriate.
  • Present the minutes of the previous meeting at the current meeting for approval.
  • Submit minutes to 2nd VP to post to website.
  • Perform other administrative actions, as assigned by the President.
  • Contact High School to reserve room for meetings.

 

Treasurer

  • Keep accurate records of all income and expenditures to and from the General Fund and any Special Funds.
  • Collect all Bees Athletic Booster income and deposit it in the appropriate accounts.
  • Pay all expenditures approved by the general membership or Executive Board
  • Prepare and present a current financial report of the Bees Athletic Boosters at each regular business meeting of the general membership.
  • Prepare an annual financial report after fiscal year end including an itemized list of all income and expenditures for the previous year.  This report shall be disseminated to the officers immediately, and presented to the general membership at the follow September business meeting.
  • File forms with organizations of federal, state, and local governments, as required by law.
  • Take the necessary steps to maintain Bees Athletic Booster 501(C)(3) Status.
  • Maintain banking relationships and accounts in good status.
  • Activate PayPal as needed.

 

Team Representative Chairperson

  • Team Representatives Chair act as the communication link between the Bees Athletic Boosters and the team members (reps), coaches, and parents.  Specific responsibilities include:
  • Provide (email team representatives for a team update on season) chairperson with a report monthly on the team's activities, accomplishments, etc.
  • Present requests for financial support to the Athletic Boosters for consideration.
  • Distribute information to team reps from the team parents and team reps.
  • Recruit new Athletic Booster members from the team parents and team reps.
  • Appoint chairpersons and oversee the activities of the Membership, Concessions, Golf and 50/50 Raffle Committees.
  • Coordinate fund-raising activities conducted by the Bee Athletic Boosters and by individual teams to avoid conflicts.
  • Communicate Concession needs from teams ie: working 50/50 and concessions stand.

 

Concessions

  • The Concessions Committee is responsible for Bees Athletic Boosters participation in running the concession stand(s) at home athletic gall events.  Specific duties include obtaining volunteers to staff the concession stand(s) in coordination with Team Rep Chair, ordering all products to be offered for sale along with required supply items, managing control over cash boxes, and coordinating the disbursement of profits among the appropriate teams.
  • Communicate and "train" teams the expectations regarding Concession set up, food preparation, clean up, and customer service.  Communicate/Train team representatives regarding BAB expectations regarding concession set up, food preparation, clean up, and customer service.
  • List processes for equipment use.

 

Membership

  • The Membership Committee is responsible for processing membership applications, conducting membership campaigns, and maintain a current membership list including contact information.  The chairperson will report the current membership status at each monthly business meeting of the general membership.
